We’re currently seeking a dedicated and compassionate Resident Services Assistant to join our team at Shannon Oaks Vancouver, an all-inclusive premier Independent Living Residence for seniors. This role provides essential administrative and concierge support, ensuring a warm, professional, and efficient experience for our residents and guests. 

About The Role 

As a Resident Services Assistant at Shannon Oaks Vancouver, you will be an ambassador of hospitality, providing administrative support to the business office and delivering exceptional service to residents, families, and visitors. Reporting to the Resident Services Manager, you will handle general office tasks, respond to resident inquiries, manage emergency calls, and maintain accurate records, all while fostering a welcoming and supportive community environment. 

Key Responsibilities 

  • Act as an ambassador of Baptist Housing, modeling organizational values and demonstrating servant leadership 

  • Provide professional reception services, answering inquiries from residents and visitors via phone or in person 

  • Respond promptly to resident medical emergencies, primarily by contacting 911 

  • Perform general office duties, including photocopying, faxing, filing, ordering supplies, and maintaining office equipment 

  • Create and manage documents and spreadsheets using Microsoft Word and Excel 

  • Facilitate new resident onboarding, including setting up confidential files, and managing logistics like lockers, parking, and keys 

  • Maintain a confidential resident database and accurate tenancy records 

  • Record meal tickets, compile daily attendance lists, and prepare monthly census reports for billing purposes 

  • Track and invoice resident charges (housekeeping, meals, utilities) and respond to related inquiries 

  • Receive and communicate maintenance requests via the Maintenance Care program 

  • Support resident move-ins, move-outs, and transitions 

  • Maintain resident earthquake kits 

  • Assist the Administrator with projects, participate in team meetings, and support resident events 

  • Attend work-related conferences and seminars for professional development 

  • Promote a culture of health and safety, ensuring compliance with WorkSafe BC regulations. 
     

Requirements 

  • Secondary school graduation 

  • Formal training in basic accounting and Microsoft Word/Excel 

  • Emergency First Aid – Community Care training (St. John Ambulance or equivalent) 

  • Minimum of 3 years’ experience as a Resident Services Assistant or equivalent combination of training and experience 

  • Exceptional interpersonal, communication, and problem-solving skills 

  • Proficiency in Microsoft Office, with strong Word and Excel skills 

  • Knowledge of basic accounting and billing practices 

  • Highly detail-oriented with excellent organizational and time-management skills 

  • Ability to maintain confidentiality and handle sensitive information 

  • Service-oriented mindset with the ability to work independently and collaboratively 

  • Physical and mental ability to perform assigned duties

Compensation & Benefits 

  • We provide a competitive compensation package with an hourly wage of $25.76 at 37.5 Full-time hours per week. 

  • Your comprehensive benefits include employer-paid extended health and dental coverage, along with a generous four weeks of vacation.
